What is Teamtailor?
Teamtailor is the applicant tracking system utilized by Swedbank to streamline the recruitment process. It enables teams to efficiently source, hire, and engage top candidates. By simplifying and accelerating the hiring workflow, it ensures a more effective and organized approach to talent acquisition.
Step 1: Log into the system
Now you will start your recruitment process. But first, please make sure that you have RAFLOG requisition approval. If RAFLOG is approved, one of recruiters will reach out to you.
To make sure you are added to the Teamtailor system and can be added to the hiring team - please use the login link to sign in for the first time: https://jobs.swedbank.com/sso_login.
After that contact your local recruiter to be added to recruitment project.
Step 2: Learn how to use the system
- You can drag candidates from one stage to another.
- When the candidate’s card is opened you can switch between candidates using the arrows in the top left corner.
- On Teamtailor, message templates are available for communicating with candidates at various stages of the process. Templates may be modified before being sent to candidates, if necessary.
- Profiles of candidates can be shared with team members involved in the evaluation process. Only relevant information should be shared with additional team members via the “share” button on the candidate card. You can set a password to restrict access to the shared information. Once the evaluation is complete, the share link must be revoked.
- The hiring manager can evaluate candidates based on their fit for the role, providing feedback in the “Role fit” interview kit under the interview tab.
- Do not use the stars rating on the candidate’s card.
Note: It is essential to maintain neutrality when evaluating candidates. Their values, competencies, and motivation for the role should not be assessed based on other job openings they have applied to. Candidates have the right to request access to all information related to them, so carefully consider the content of the evaluation.
Integrated Test and Reference Tools
Alva labs
Alva Labs is an assessment tool which can be used for objective candidate screening or later in the recruitment process to help assess candidates.
- Inform recruiter that you want to use this assessment tool in your recruitment. The recruiter will add a trigger to “Personality Test/Mental Ability Test” stage in Teamtailor, so invitation for candidates to complete a personality and logic tests will be sent automatically after dragging candidate into this stage. Upon completion, the candidate's profile is matched with the applied role, and the hiring manager can view the test results on the candidate’s card.
- You can choose to send only one of the tests – personality or logic test.
- Viewing Results: Once candidates have completed both the personality and logic tests, their results are available clicking on the Alva Labs link on their candidate cards in Teamtailor. Ask recruiter for help interpreting the results.
Refapp
Refapp is a digital referencing tool designed to facilitate efficient, professional, unbiased, and secure reference checks for candidates in the recruitment process. It streamlines the process of collecting references by allowing information to be gathered quickly and accurately from referees, ensuring compliance with GDPR, improving the accuracy of candidate details, and saving time in recruitment.
- Inform recruiter that you want to use Refapp for collecting referals. They will add a trigger to “Reference Check” stage in Teamtailor.
- Inform the selected candidate(s) that Swedbank conducts digital references through Refapp.
- Move the candidate(s) to the “Reference Check” stage in Teamtailor.
- Upon completion of reference checks, an email notification will be sent to recruiter.
- In Teamtailor, a link to the report will be available on the candidate's card, providing direct access to Refapp. Access the reference report by clicking “See Results”.
Step 3: Pay attention to candidate‘s experience
You have responsibility to ensure that every candidate has a good recruitment journey with Swedbank.
Regardless of the country you are recruiting, the three principles guide you are the same:
1. Confidentiality,
2. Priority for internal candidates,
3. Diversity and inclusion.
When you have started a recruitment process, be sure to think through who are you looking for and how to find the right talent for the role. Necessary recruitment process stages depend on the certain position filled – consult with your local recruiter. Always keep in mind how the candidate journey will be experienced at Swedbank. - Set the candidate experience as number one priority – keep regular contact; make fast decisions and compare candidates to the profile, not with the person you are replacing or other team members; give reasoned and transparent feedback.
- Plan and communicate process steps – plan the selection steps beforehand, choose assessment tools wisely, share information on what to expect from the candidates.
- Assess values and potential – prioritize assessing candidate's fit for Swedbank - values, self-leadership, collaboration – before the technical competencies.
Please note: It is very important to keep a neutral view: conclusions on the candidate’s values, competences and motivation towards your role cannot be assessed based on other job openings they have applied to.
Step 4: Understand GDPR
Hiring Manager shall:
- Understand GDPR Guidelines in Teamtailor;
- Minimize the use of personal data outside Teamtailor, e.g. do not send CV through e-mail, link to candidate card in Teamtailor instead;
- Keep notes about candidate in Teamtailor using Notes section in Candidate card. Be professional when you leave comments about candidates. It can only be facts like salary expectation, experience, etc. and not opinions or feelings;
- If CV is received in your e-mail, if recruitment project is active, ask the candidate to apply through Teamtailor, send candidate the link for the project and delete received CV in your e-mail afterwards. If recruitment project has expired and you decide to accept the candidate’s application, ask the recruiter to add the candidate in Teamtailor and delete CV from e-mail and computer afterwards. This is important because we do not have any GDPR permission from the candidate if they send cv to e-mail address and we can not process their data.
- Do not start processing added or referred candidates’ personal data without confirmed permission from them;
- Keep your candidates’ data confidential - we respect the privacy of the applicants. This means that we don’t discuss or send data concerning the applicant to others, especially the current manager of the applicant, unless this has been agreed with the applicant.
